How it works

A QR Code That Puts Your Event in Every Guest's Calendar

PaperBee creates the QR code in the standard calendar-event format (the same format calendar apps use to share events). When someone scans it, most phone cameras and QR scanner apps recognise it as an event and offer to add it to Google Calendar, Apple Calendar or Outlook — with the title, time, venue and notes already filled in.

Times are saved in the guest's local time, which is exactly what you want for an in-person event. Everything is generated in your browser, and because the details are inside the code it never expires and needs no internet to read.

  • Fewer no-shows

Guests who add the event to their calendar get an automatic reminder.

  • All-day or timed

Leave the time blank for festivals and fairs, or set exact start and end times.

  • Venue included

The location field helps guests find their way on the day.

  • Add a link

Point to an RSVP form, livestream, map or ticket page.

Tips for Event QR Codes on Invitations & Posters

A calendar QR code is only useful if guests notice it and it scans first time.

  1. 01

    Tell people what it does

Add a line like “Scan to add to your calendar” next to the code.

  2. 02

    Keep the details short

Long descriptions make the code denser. Put the essentials in, and link to a page for the rest.

  3. 03

    Double-check date and time

Scan the code yourself and look at the calendar entry before printing hundreds of invitations.

  4. 04

    Size it for the distance

At least 2 × 2 cm on cards; on posters, about one-tenth of the distance people will scan from.

FAQ

Event QR Code — Frequently Asked Questions

How does an event QR code work?

The code contains your event in the standard calendar format. Scanning it with a phone camera or QR app shows an option to add the event to the phone's calendar with all details filled in.

Does it work on iPhone and Android?

Yes. The iPhone camera and most Android cameras and Google Lens recognise calendar QR codes. Some older scanner apps may show the details as text instead.

Can I make an all-day event?

Yes. Just leave the start time empty. For multi-day events like fairs, set an end date too.

Can I change the event after printing?

No — the details are stored in the code. If the date or venue changes, create a new code. If changes are likely, add a link to a page you can update.

Is it really free?

Yes. There's no sign-up, no watermark and no limit on how many event QR codes you create.

Which format should I use for printed invitations?

Download SVG for printing — it stays sharp at any size. Use PNG for WhatsApp, Instagram and email invitations.
